Security Settings & Access Control
This article covers:
- User roles in APM: global admin, director, supervisor
- Restricting access by assigning users to specific organisations (franchisees)
- Bill Approvers tab — designating who can approve bills that exceed PO value
- The Roles tab — reviewing role permissions
- Settings > Billing — managing your APM subscription
- Settings > My Company > Config tab — system configuration options
- Password reset process
Step-by-step guide
- Review user roles Go to Settings > My Company > Roles tab. Review the roles available in your account and what access each provides.
- Assign correct roles In Settings > My Company > Users, check that each team member has the appropriate role. Directors have full access; supervisors have operational access; restrict sensitive financial access to directors and global admins.
- Restrict by organisation If you run multiple companies or franchisees under one APM account, assign each user only to the organisation(s) they should access. Users not assigned to an organisation cannot see its jobs or data.
- Set Bill Approvers Click the Bill Approvers tab in Settings > My Company. Assign one or more directors or admins as bill approvers. When a supplier bill exceeds a PO value, APMflow creates an approval task assigned to these users.
- Manage your subscription Click Settings > Billing to view your current subscription status. If no active subscription is shown, contact APM support to set one up.
- Reset a password Users can reset their own password from the APM login screen using the Forgot Password link. Admins cannot reset passwords on behalf of users — each user must initiate their own reset via email.
Note: APM is a cloud-based platform with data stored on secure Australian servers. Access is controlled entirely through user roles and organisation assignments.
